- questions you submit via a contact form, email or telephone;
- scheduling an appointment via the optional Google Calendar module;
- your cookie and media preferences;
- technical data necessary to provide the website safely and reliably.
A contact request does not open a case file. When the firm expressly accepts an assignment, additional information about the processing within the attorney-client relationship can be provided. This processing is also subject to professional secrecy, deontological rules and legal filing obligations.
3. What data do we process?
Information that you provide yourself
- identification and contact details, such as name, email address and telephone number;
- the language you choose, the jurisdiction involved and any urgent date;
- the content of your question or brief description of your situation;
- appointment details that you enter directly into Google Calendar;
- further correspondence necessary to answer your inquiry.
Technical data
The hosting environment may process, among other things, IP address, time, requested page, browser information, referring page and security events in technical log files. Your cookie preference is stored locally in your browser with a date, expiration date and policy version.
Sensitive data or data relating to criminal offences
A legal question may contain information about health, family, finances, criminal offenses or other sensitive circumstances. Do not send confidential documents via a public web form and limit your description to what is necessary to understand the first question. If such data is nevertheless received and is relevant, we will only process it within the applicable legal exceptions, including for the establishment, exercise or defense of legal claims and with respect for professional secrecy.
4. Why do we process data?
| Goal | Examples | Legal basis |
|---|---|---|
| Receiving and answering your question | Contact us, assess the urgency and determine who can handle the question | Steps at your request before a possible agreement and our legitimate interest in careful communication |
| Assessing conflicts of interest and whether the case can be accepted | Check whether the office is free to act and whether the request fits within the service provided | Legal and deontological obligations and legitimate interest |
| Securing the website and making it function | Preventing abuse, investigating errors and delivering forms | Legitimate interest and, where applicable, legal security obligations |
| Show external media | Load Google Maps or Google Calendar | Your prior consent |
| Measuring website usage | Aggregated statistics via Google Analytics 4 (via Google Tag Manager) | Your prior consent |
| Measuring marketing performance | Campaign tags via Google Tag Manager; Meta Pixel if activated later | Your prior consent |
| Manage rights and disputes | Handle a privacy request or substantiate a legal claim | Legal obligation and legitimate interest |
You can refuse consent for optional cookies, external media, analytics and marketing without blocking the regular website or direct contact options. You can always withdraw consent.
5. Who can data be shared with?
Access remains limited to those who need the data for their task. This may involve:
- lawyers and authorized employees of Flamend & Partners;
- Netlify as hosting, form and technical infrastructure provider;
- IT, security and website suppliers who work under appropriate confidentiality agreements;
- Google Ireland Limited when you activate Google Maps or Google Calendar;
- Google or Meta when analytics or marketing services are activated later and you agree;
- governments, regulators or judicial authorities when required by law;
- professionals or service providers who are necessary for an accepted assignment, within the framework of professional secrecy.
We do not sell your personal data. Google Tag Manager, if used later, is a tag management system only. What data processing takes place is determined by the tags that are included and by your consent.
6. Transfer outside the European Economic Area
Some technical suppliers may process data in countries outside the European Economic Area, including the United States. When such a transfer occurs, we will use a valid transfer mechanism, such as an adequacy decision, recipient participation in the EU-US Data Privacy Framework, or standard contractual clauses approved by the European Commission. Where necessary, additional technical and organizational measures are assessed.
You can request more information about the guarantees of a specific supplier viainfo@flamend-partners.be.
7. How long do we store data?
We do not store personal data longer than necessary for the purpose for which it was collected:
- a contact request that does not lead to a case file will in principle be deleted or minimized no later than twelve months after the last substantive communication;
- limited data necessary for a conflict of interest, complaint or legal action may be retained for a longer period in accordance with the applicable limitation, evidentiary and deontological periods;
- data from an accepted case file follows the legal, contractual and deontological retention periods that apply to lawyer case files;
- technical security logs are kept for as long as necessary for security and error investigation;
- your cookie preference will expire after six months at the latest, after which you will be asked to make a choice again.
If a legal retention obligation or an ongoing dispute requires longer storage, we will limit use to that purpose.
8. Security and professional secrecy
We take appropriate technical and organizational measures to protect personal data against unauthorized access, loss, modification or disclosure. This includes access restrictions, confidentiality obligations, secure connections, supplier management and procedures for incidents and privacy requests.
No online system is completely risk-free. A web form is therefore not intended for extensive or highly confidential documents. Please contact us first by telephone or email to agree on a suitable transfer channel. Professional secrecy applies within the limits of the law and the deontological rules as soon as information is received in the professional capacity of a lawyer.
This website does not make exclusively automated decisions that have legal consequences for you and does not use profiling for the acceptance of case files.
9. What rights do you have?
Depending on the situation, you can ask for:
- access to your personal data and a copy thereof;
- correction of incorrect or incomplete data;
- erasure of data when there is no valid reason for further processing;
- restriction of processing;
- objection to processing based on a legitimate interest;
- portability of data that you provided and is processed automatically;
- withdrawal of consent, without prejudice to previous lawful processing.
Send your request to info@flamend-partners.be. To keep data secure, we may request reasonable information to confirm your identity and authority. In principle, we will respond within one month. In the case of a complex or extensive request, this period can be extended according to the GDPR. Rights are not absolute: professional secrecy, rights of others, legal retention obligations and the protection of legal claims, among other things, can justify a restriction.
10. Questions, complaints and changes
If you have a question about privacy, please contact Matthias Dive atinfo@flamend-partners.be or by post to the registered office. We would like to first look for a clear answer together.
You also have the right to file a complaint with theData Protection Authority, Drukpersstraat 35, 1000 Brussels. You can also contact the supervisor of your habitual residence, place of work or the place of the alleged infringement.
We may adjust this policy if the website, legislation or service providers used change. The most recent version is always on this page. In the event of an important change, we will request permission again where necessary.
